1. What is confidential
Confidential information includes client and end-customer identities, source and translated files, credentials, personal data, project instructions, pricing, quality results, communications, technology and non-public business information. It remains confidential whether or not it is marked.
2. Permitted handling and tools
Access and use confidential information only for the assigned project; disclose it only to authorised people with a need to know; use approved devices and storage; prevent family or colleagues from viewing it; and follow client-specific security instructions. Machine translation, generative AI, automated transcription and synthetic voice are prohibited unless the controlling Statement of Work expressly permits the use and the tool is on the versioned Approved Tools List. No automated tool is currently approved. Until a portal field exists, provide the written tool declaration to the assigned project manager with every delivery record. Synthetic/AI voice additionally requires a separate personally signed participant opt-in and can never be authorised by a portal checkbox.
3. Return, deletion and lawful retention
On request or project completion, return or securely delete working copies and confirm deletion where required. You may retain only records required by law or reasonably needed for an active claim, and must isolate and protect those records. This notice does not require destruction of evidence needed for tax, accounting or dispute rights.
4. Incidents and precedence
Report misdirected files, lost devices, suspicious access or accidental disclosure to MoniSa within four hours through Report an Incident, provide a written report within 24 hours, answer urgent questions within four hours, revoke exposed access within four hours and report under-18 discovery within four hours. Coordinate external notifications with MoniSa, but nothing here prohibits or penalises a statutory or regulatory report, supervisory-authority complaint, protected disclosure, request for legal advice, or preservation or production of evidence where the law protects or requires it. A project-specific NDA, data-processing addendum, Statement of Work or client instruction may impose stricter duties and controls over this general notice.
